Job Description 

We are looking for an Accounting Assistant to perform a variety of accounting and clerical tasks. Duties of the Accounting Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Responsibilities
 
  • Organize and schedule appointments for W/H Supply & Office Supply
  • Cello vendor search, PUMI, Purchasing
  • Cello invoice Upload & Reconciliation 
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system for purchasing
  • Validate time in and out data vs. staffing company invoice
  • Order office supplies and research new deals and suppliers
  • Maintain pallet inventory and make PO in advance
  • Submit and reconcile expense reports
  • Provide general support to visitors
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
  • Assist with other duties as assigned
  • Timely completion of functional request
  • Work well as a team member with other company employees, consultants and contractors

Minimum Qualifications:
 
  • AA degree or above; additional qualification as an accounting assistant or Secretary will be a plus
  • Proven experience as an accounting assistant, virtual assistant or office admin assistant
  • Knowledge of office management systems and procedures
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Strong computer skills, proficient in Microsoft office suites products and other applications
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail, accuracy and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Decision making and problem-solving skills
  • May be required to work additional hours outside of regularly scheduled business hours or weekend or holidays to meet its business needs
  • Ability to work in a team environment while delivering independent results
  • Able to work in multicultural environment
