The Manager's primary job responsibility is to supervise, direct and control day to day operations of the apartment community by providing leadership, motivation and consistent direction to the on-site staff and the performance of the on-site staff and the maintenance of the physical property.
GENERAL RESPONSIBILITIES:
The Property Manager's duties are vast - the most important of which is the responsibility to the residents of the apartment community. This includes observing and following Fair Housing guidelines, reporting potential and/or real liabilities to the Regional Manager, Technical Director and VP of Operations. Other responsibilities include following instructions of the established company philosophies, policies, and procedures, interviewing, selecting and developing employees to their full potential. In addition, the Property Manager must supervise maintenance, resident services, leasing activities and vacant unit conditions to insure adherence to the guidelines of Company.
SPECIFIC RESPONSIBILITIES:
• Inspect market ready units on a regular basis to insure adherence to Company standards. For those not ready to show, direct completion of the units. • Take an active role in the work scheduling of vacant units and inspect the completed work of employees and contractors to insure adherence to Company standards. • Review work orders daily to insure timely completion and to reschedule any outstanding requests. Direct on-site staff for completion of work. • Physically shop competition quarterly to remain aware of market. • Inspect vacancy report status to insure report is accurate and up to date. • Make recommendations for increases or decreases in rental schedule with completed justification and seek approval from the regional manager. • Coordinate the responsibilities and activities of the Assistant Manager, Leasing Agent, and Maintenance staff. • Accurately prepare, or supervise preparation of, all required reports and forms including, but not limited to, accounts receivable, daily bank deposits, Monthly Collection Reports and Recap, delinquency reports, accounts payable, and Security Deposit Disposition Reports. • Review monthly Income/Expense statements and be prepared for review with the Regional Manager within the first week if your receipt of the report. • Review all delinquent accounts and determine action required. Work with the collection process. Personally contact residents for delinquencies. • Obtain required insurance certificates on all vendors prior to performance of work on property. • Support a methodical system of procedures and/or formats established for all properties. This includes filing systems, business correspondence, purchase order procedures, rent collections, property maintenance, personnel requirements, etc. • Perform Assistant Manager's and/or Leasing Agent's duties if necessary. • Approve and sign all leases - except employee leases. Check every new lease for accuracy and completeness making sure that the dates, rental amounts and deposit amounts are correct and have been collected. • Approve and sign all lease renewals. Check every lease renewal for accuracy and completeness making sure that the dates and rental amounts are correct. Renewals should be sent to the residents at least 45 days in advance. • Schedule unannounced observation and performance evaluation of on-site personnel. • Inspect and inventory supplies in stock room prior to ordering any purchase order. Insure justification of purchase requirement. Issue purchase orders and update purchase order log. • Inspect exterior lighting weekly and document on appropriate checklist. Inspect pool condition and equipment spring, summer and fall for the proper maintenance when applicable. Pool log must be updated daily. • Prepare preventive maintenance checklist by day, week or month for maintenance personnel to perform, including but not limited to, air conditioning, heat, hot water, air handling units, filters, etc. • Approve and log all invoices for payment as soon as presented. Review unpaid purchase orders weekly. • Implement controls, policies, procedures to conserve utilities. Monthly records must be kept on consumption of units used for electricity, gas and water. This information must be available to the regional manager.
Qualifications:
High school diploma or equivalent from an accredited institution is required; College degree preferred
Three or more years of experience in Residential Community/Property Management
Work on a team that is built on mutual respect, collaboration, excellent service and passion for providing above and beyond experiences
Ability to work a flexible schedule including weekends and holidays
Exceptional customer service orientation
Proficiency in Microsoft Office/Excel and property management software in order to complete required reports
Excellent verbal and written communication skills
