JOB SUMMARY:
The administrator is the liaison between the on-site staff and the corporate office. They are to work with and support the other departments to maintain financially successful properties. This role will work with the following departments: Administration (Primary), Operations (in a supporting role), Finance (in a supporting role).
ESSENTIAL JOB FUNCTIONS (Including, but not limited to):
Communicating with staff to address and resolve issues via email or phone call in a timelymanner
Banking: Monitor checkbook balances, cashflow, perform reconciliation, transfers, and deposits
Accounts Payable:
Audit and pay bills weekly for net 30-day terms
Update PO Logs and maintain good credit standing
Resolve billing discrepancies and review vendor statements
Use MRI property software for Accounts Receivables, Reporting and Auditing
Prepare Monthly Financial Reports including:
Auditing resident activity, leases, and ledger balances
Entering accounts receivables
Audit market, base, and renewal rates along with lease expirations
Import, Explain, and Monitor Expenses
Update End of Month Reporting: Rent Rolls, Vacancy, Utility and Repair Logs
Payroll processing bi-weekly
Process resident security deposit statements, reconcile balances, and report to collections
Audit Key and Light logs for liability purposes
Maintain Vendor Contracts:
Communicate with vendors and negotiate when needed
Review approved contracts
Monitor payment schedules and process lien waivers to release payments
Update Contract Logs and Digital Records
Marketing - Contribute ideas and monitor property performance and reporting
Read and review Incident Reports
Ad hoc duties assigned according to business needs
REQUIREMENTS FOR THIS ROLE:
Bachelor’s Degree Required (Business Administration major preferred)
2+ Years of experience in Customer Service, Real Estate, and/or Banking (Preferred)
Basic accounting principles: Chart of Accounts and Debit/Credit
Basic Excel Knowledge
Strong and professional communication skills both oral and in writing
Strong organization skills to keep clean workspace and maintain a filing system
Strong time and task management skills with the ability to reprioritize
The ability to work independently and collaboratively
A strong problem-solver through methodical/analytical practices
The ability to lift boxes of up to 35 lbs.
