Korean Bilingual Conference Coordinator / San Jose, CA / Business / SJ700701

Essential Job Duties:
  • Make recommendations to effectively resolve problems or issues, by using judgement that is consistent with standards, practices, policies, and regulations of government law
  • Establish and maintain effective working relationships with employees, outside contractors, and building occupants
  • Assist with phone requests and move process
  • Assist with key requests and inventory
  • Assist with conference center meeting reservations and cancellations
  • Oversee additional requests such as room set-up, catering, and audio-visual requirements
  • Assist building vendor contacts, contracts, and payments
  • Manage cleaning, fueling, inspection and maintaining of company vehicles and electric golf carts
  • Assist with the storage of excess items including keeping a storage inventory
  • Manage kitchen and mailroom inventory, purchases and cleanliness
  • Document all processes and procedures for position including administrative and building operation activities
  • Meet deadlines while working on multiple projects
  • Sort, distribute, and manage all mail and courier services
  • Manage HR student workers, hire, training, and scheduling
  • Manage, plan, and coordinate activities which include central supply ordering and delivery services, general maintenance and organization of office space, and other building-related activities
  • Assist with all work locations cubicle and office move requests
  • Coordinate completion of building operations customer services requests in a timely manner
  • Complete special projects as assigned
  • Other duties as assigned
Qualifications:

Install and configure PC’s and Mac’s, printers and peripherals within established standards and guidelines
  • Provide VIP support to executives and high level visitor 
  • Install new hardware and software upgrades requested from users
  • Analyze and solve technical problems by using problem-solving skills
  • Conduct analysis and troubleshooting via telephone, email and using remote assistance
  • Resolve technical problems with computing equipment and software
  • Assist visitors and VIPs with the ongoing usability of PC, peripheral devices and software
  • Provide on-site technical support and end-user technical training
  • Provide technical support for IT services in conference rooms
  • Install and perform maintenance on proprietary system/s
  • Provides timely resolution of end user problem in accurate manner
  • Attention to detail and thoroughness in completing assigned duties
  • Highly organized and able to handle multiple projects
  • Adept at navigating complex environments with evolving priorities and communication plans
  • Ability to liaison with property management personnel in regard to the physical, environmental and security conditions of the building
  • Ability to coordinate and manage outside vendors for building related issues
  • Ability to manage all meeting room setups and functions
  • Knowledge of general principles, practices and procedures of office and building management
  • Excellent and extensive working knowledge of Microsoft Office
  • Demonstrated ability to supervise others
  • Ability to assume responsibility and make independent decisions
  • Must posses a valid driver’s license and have a driving record in good standards
